SUMMARY: To serve Grove Baptist Church by providing human resource and insurance expertise, and administrative support to the Minister of Administration, enhancing his/her ability to focus on supporting the Senior Pastor through supervising staff regarding day-to-day operations, planning, budgeting,etc.. The Assistant to the Minister of Administration coordinates tasks with all departments as needed to accomplish the work of the Office of Administration.

ESSENTIAL DUTIES AND RESPONSIBILITIES: the following, while not an all exhaustive list of duties associated with the position, is intended to familiarize you with the general requirements this role entails.
Handles all aspects of Human Resources to include: coordination of advertising, hiring, new-hire orientation, benefits, terminations, resignations and written, timely communication to candidates regarding position inquiries.
Updates files and position descriptions annually.
Coordinates the assimilation of new hires, i.e., ensuring they report for first day, setting up office space and working with other departments regarding the new position.
Responsible for updating, maintaining and applying current Human Resources laws to all data regarding staff members. Notifies Min. of Administration with pertinent government and state policies regarding the church and suggests changes as policies indicate.
Schedules appointments, meetings, conference calls and room set-ups as assigned and send daily reminders to Min. of Administration.
Reviews, sorts and summarizes mail, composes/edits correspondence; supports the needs of various projects, creates documents and reports using various computer software and communicates with the staff members on behalf of the Minister of Administration as needed.
Reconciles monthly credit card statements for the Min. of Administration and manages petty cash requests as directed.
Helps establish new administrative systems and maintain the security and confidentiality of the official church system files and data base; provides policy recommendations and implements procedures in support of approved policies regarding the creation, use, and upkeep of the official financial data base.
Serve as liaison to external benefits agencies for staff benefits and presents a clear understanding of the plans and their functions.
Initiates all correspondence as for the Min. of Administration regarding employee benefits updates and modifications. Provides benefits information to employees that are terminated or resigned. Communicates with external benefits contacts and pertinent internal departments regarding employee modifications as needed.
Leads and serves on the staff development team that coordinates training, in-services, meetings and special events for staff,
Coordinates all aspects of meetings of the Minister of Administration including trustees futuring and church service organizations affiliated with the Minister of Administration.
Receives, processes and responds via written correspondence to organizations and individuals requesting contributions and donations from the church.
Coordinates scholarship review process and responds to scholarship candidates regarding application status.
Performs other duties as assigned by the Min. of Administration in coordination with other departments.
Attend devotions, weekly staff meetings and other meetings, taking notes as needed and requested by the Minister of Administration and the Senior Pastor as needed. Be prepared to lead or get someone to lead devotions, weekly staff meetings and other meetings as directed, in the absence of the Min. of Administration.
Ensure ACS system is up to date and serve as main liaison with ACS.
Authorize access to ACS database upon approval of dept heads.
Performs routine reception and clerical duties such as greet visitors, answer phones, screen and direct calls, take and deliver messages, get and route messages from voice mail numbers as needed. Works with the Director of Offices Services to meet the needs of the front desk in the absence of the receptionist as needed.
Knowledge, Skill and Experience
1. Work requires the level of educational development normally acquired by completion of a high school program plus specialized knowledge up to one year in occupational specific training such as accounting, business, or human resources course work. A Bachelor’s degree and related certification is preferred.
2. Requires 3 years experience including a strong background and hands-on experience with human resources, and/or financial management work in a medium-sized private firm or non-profit organization. Experience as a church administrative assistant is preferred.
3. Requires extensive knowledge of various PC based word-processing, spreadsheet packages – such as Microsoft Office (Word, Excel, Access and Powerpoint). Working knowledge of publishing programs is preferred. This level of proficiency and knowledge is normally acquired with one- year of related, hands-on experience.
4. A heart to serve others, with strong communication and interpersonal skills are required in order to relate with a wide variety of people and to provide information across a broad spectrum of church procedures and activities.
5. Requires organizational ability to accomplish projects and plan and supervise individual and group tasks as well as the ability to work flexible hours as needed to complete assigned tasks.
Full-time usually requiring more than 40 hours per week.
Pay range: $30,000.00-35,000.00 depending upon qualifications and experience.
